Wednesday 4th December we had a serious bug affect AO systems

A serious bug affected the AO system between 4am and 1pm on Wednesday 4th December. This bug caused any function in AO which utilized emails was taking the user to a screen which said: An error has occurred. Please try again later. The email for the function was not sent. 

 

This issue was identified as a showstopper and a fix was developed as a matter of urgency. A fix was completed at 1pm on Wednesday 4th December.  

 

A number of these functions can’t be done retrospectively so the records will need to be rectified manually. The emails for the functions performed during the window of 4am to 1pm on Wednesday 4 December will never be sent.  

 

**Action:** 

 

*Items with orders*
Please check your order list for any orders that were created between 4am and 1pm on Wednesday 4 December and rectify as follows:

 

*Membership creation or renewal:*
If the person paid by credit card – check whether the membership has been created / renewed. If not, manually create or renew the membership without creating an invoice. Notify the person that their invoice can be found in their member centre.
If the person paid by using an offline payment method e.g. direct debit, check whether the membership has been created or renewed. If not, cancel the invoice and create / renew the membership with payment.

 

If the membership was renewed using the autorenewal function, please contact support for assistance.

 

*Event registration:*
If the person paid by credit card – manually create the registration, notify the person that their invoice can be found in their member centre.
If the person paid by using an offline payment method e.g. direct debit, cancel the invoice and create the registration with payment

 

*Product Sales:*
If the product purchased was an edownload the electronic document will need to be sent to them manually.

 

*Manual orders:*
Cancel the order and recreate.
